PROFESSIONAL DEVELOPMENT BUSINESS SUPPORT SPECIALIST



The Professional Development Business Support role provides essential support to the Professional Learning team, focusing on administrative tasks, coordination, and communication that ensure the effective delivery of learning programs. This role works closely with team members, clients, and external vendors to support the development, organization, and implementation of high-quality professional learning programs, aligning with Frog Street’s mission to empower connected learning communities.


The duties and responsibilities include, but are not limited to:


KEY RESPONSIBILITIES:

  • Program Coordination Support the planning, scheduling and organization of professional learning events, both virtual and in-person.
  • Coordinate logistics for training sessions, workshops, and seminars, including booking venues, handling registrations, and preparing necessary materials.
  • Collaborate with the Marketing team to promote professional learning offerings.

Support for Professional Development Business Manager Assist the Professional Development Business Manager in the following areas:

  • Per-diem travel Concur reconciliation
  • Support and review the open order tracking system
  • Handle inbound calls from customers
  • Provide support for questions and issues related to billing and systems
  • Facilitate cross-departmental collaboration with Accounting, Customer Care, Customer Success, the Professional Development team and Sales
  • Monitor and report on Salesforce systems
  • Set up and manage registration sites and processes for CDA and ICC plans
  • Oversee and maintain the new survey system, including monthly survey reports
  • Maintain IACET records and requirements for renewal compliance
  • Track ECAC (LA Ancillary) required paperwork, Pathways billing, and handle specific billing for initial applications and scholarship intervals
  • Close out ECAC and CDA compliance at the end of respective programs
  • Manage the Instructor-Supported CDA Program, including books, billing, course enrollment and reporting as needed
  • Conduct initial onboarding for ECAC and CDA programs




  • Administrative Support Manage the department’s calendar and assist with scheduling meetings, including cross-departmental meetings that support customer experience.
  • Handle department communications, ensuring timely responses to internal and external inquiries.
  • Assist in creating and maintaining documentation, records, and reports to track program effectiveness.


  • Data and Reporting Collect and analyze feedback from participants to measure program success and areas for improvement.
  • Maintain and update databases related to professional learning programs, including participant records, program schedules, and materials.


  • Swogo Management Lead the setup and execution of Swogo technology at Frog Street’s educational conferences.
  • Administer the Swogo site for content changes, ensuring that it is kept up to date with accurate information and is properly maintained.
  • Ensure seamless integration of Swogo within conference activities, addressing any technical or operational issues that arise.
  • Serve as the primary contact for Swogo-related inquiries and troubleshooting during conferences.


  • Client and Stakeholder Liaison Act as a point of contact for clients and participants, providing information about upcoming events and responding to inquiries.
  • Coordinate with external vendors, consultants, and speakers to facilitate seamless program delivery.
  • Assist in customizing professional development plans for clients in collaboration with the Professional Development Team.


  • Resource and Budget Management Assist in managing the department’s budget, tracking expenses, and ensuring cost-efficiency.
  • Maintain an inventory of materials and resources for professional development programs.
  • Support procurement and processing of invoices, expense reports, and vendor payments.


  • Team Collaboration Partner with the Sales and Marketing teams to align professional learning offerings with customer needs.
  • Provide support for cross-departmental initiatives that enhance the professional development experience.
  • Work closely with Professional Development Managers to continuously improve program quality and delivery.



QUALIFICATIONS & REQUIRED SKILLS

  • Bachelor’s degree in Education, Business Administration or a related field
  • 2+ years of experience in a support role, preferably within education, learning and development of a similar environment
  • Strong organizational and project management skills with attention to detail
  • Excellent written and verbal communication skills
  • Ability to analyze data and produce actionable insights
  • Customer-oriented with the ability to engage with diverse stakeholders
  • Proficiency in Microsoft Word, Outlook, PowerPoint, and Excel
